Privacy Policy

This Privacy Policy explains how BZBoard LLC ("BZBoard," "we," "us," or "our") collects, uses, discloses, stores, and protects personal information and other data in connection with the BZBoard website, platform, and related services (collectively, the "Service").

1. Information We Collect

We may collect the following categories of information:

Account Information

Name, email address, organization or shop name, role, authentication information, and account preferences.

Customer Content and Service Data

Customer records, contact logs, issue descriptions, equipment details, diagnostic sessions, uploaded content, prompts, chat contents, notes, and other information submitted to the Service.

Usage Information

Pages viewed, features used, timestamps, device and browser information, log data, interactions with Service features, and related operational telemetry.

Billing Information

Subscription status, billing contact information, invoice records, and payment processor tokens or references. Full payment card details are processed by our payment processor and are not stored by BZBoard.

Support and Communications Data

Support requests, email content, responses, and account communications.

If you sign in with a third-party identity provider, we may receive profile information made available by that provider, subject to that provider's settings and policies.

2. How We Use Information

We use information to:

  • provide, operate, maintain, and secure the Service;
  • authenticate users and manage accounts;
  • process payments and administer subscriptions;
  • provide support and respond to inquiries;
  • troubleshoot issues and improve the Service;
  • develop new features and functionality;
  • power AI-assisted and related platform features;
  • communicate with you about service, billing, legal, security, and product matters;
  • detect, prevent, and investigate fraud, abuse, misuse, and security incidents;
  • comply with legal obligations and enforce our agreements.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising.

3. AI Processing

Some features of the Service use third-party AI or machine learning providers to process prompts, conversations, uploaded content, and related context in order to generate responses, summaries, or other outputs.

Current significant providers supporting these functions may include OpenAI. Other providers used to support operation of the Service may include Stripe for payment processing and Resend for transactional email delivery.

When you use AI-assisted features, the content submitted may include business, technical, customer, and diagnostic information that you choose to provide. We configure available provider controls intended to limit retention and secondary use where supported by the provider.

BZBoard will not use Customer Data to train foundation models or general-purpose artificial intelligence systems.

A current list of significant subprocessors and service providers is available upon request by contacting support@bzboard.com.

You should avoid submitting highly sensitive information unless necessary for the requested feature and permitted by your own legal, contractual, and compliance obligations. In particular, unless clearly required for a legitimate business purpose, you should avoid uploading:

  • Social Security numbers;
  • payment card data in free-text fields;
  • medical or health information; or
  • government-issued identification numbers or images.

4. How We Disclose Information

We may disclose information:

  • to service providers that help us operate the Service, such as hosting, infrastructure, authentication, payment processing, email delivery, and AI processing providers;
  • to professional advisers, auditors, insurers, financing sources, and transaction counterparties under appropriate protections;
  • to comply with law, regulation, legal process, or lawful governmental request;
  • to protect the rights, safety, and security of BZBoard, our users, or others;
  • in connection with a merger, acquisition, bankruptcy, reorganization, financing, dissolution, or sale of all or part of our business or assets.

5. Third-Party Service Providers

We use third-party providers to support operation of the Service. Depending on how the Service is configured and used, providers may include Stripe, OpenAI, Resend, hosting or infrastructure providers, and other vendors supporting core Service functions.

These providers process information for the purposes described in this Privacy Policy and subject to their own contractual and privacy commitments.

6. Data Security

We use administrative, technical, and physical safeguards designed to protect information from unauthorized access, disclosure, alteration, and destruction. These measures may include encryption in transit, access controls, password hashing, logical separation of customer data, logging, and vendor security controls.

No security measure is perfect, and no method of storage or transmission is completely secure. As a result, we cannot guarantee absolute security.

7. Data Retention

We retain information for as long as reasonably necessary to provide the Service, maintain accounts, comply with legal obligations, resolve disputes, enforce agreements, and support legitimate business operations.

For canceled accounts, we generally retain account information and Customer Content for up to ninety (90) days after cancellation to allow account recovery, backup restoration, operational processing, and related business needs, unless a shorter or longer period is required by law or a separate written agreement.

If you request deletion, we will take commercially reasonable steps to delete or de-identify applicable information within a reasonable timeframe, subject to legal obligations, backup systems, fraud prevention, dispute resolution, and other lawful retention needs.

We may retain de-identified, anonymized, or aggregated information that cannot reasonably identify you for analytics, security, and service improvement.

8. Your Rights and Choices

Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, export of, or restriction of certain personal information.

You may also update certain account information directly through the Service. To exercise a privacy request, contact support@bzboard.com. We may take reasonable steps to verify your identity and authority before responding. In some cases, we may deny or limit a request where permitted by law.

If applicable law gives you a right to appeal a denial of a privacy request, you may submit an appeal by contacting support@bzboard.com.

9. Business Customer Role

In many cases, BZBoard processes personal information contained in customer-submitted content on behalf of the business customer using the Service. In those situations, the business customer is responsible for determining the lawfulness of collection and use of that information, providing required notices, and responding to requests from individuals whose information is included in that content.

BZBoard processes such information as a service provider or processor to the extent applicable under law and subject to our agreements with the business customer.

If you require a Data Processing Addendum in connection with your use of the Service, you may request one by contacting support@bzboard.com. BZBoard may make available its then-current Data Processing Addendum for eligible business customers.

10. Cookies and Similar Technologies

We use essential cookies and similar technologies necessary to authenticate users, maintain sessions, secure the Service, and support core functionality.

We do not use advertising cookies or third-party cross-site tracking technologies on the Service. If we introduce non-essential cookies or tracking technologies in the future, we will update this Privacy Policy and any required notice or consent mechanisms.

11. Age Restrictions

The Service is intended solely for business and professional use and is not offered to anyone under 18 years of age.

12. International Use

The Service is operated primarily from the United States. If you access the Service from outside the United States, your information may be transferred to and processed in the United States or other jurisdictions where we or our service providers operate.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice by email, through the Service, or by another reasonable method. Unless otherwise stated, material changes will become effective no earlier than thirty (30) days after notice.

Your continued use of the Service after the effective date of the updated Privacy Policy constitutes acceptance of the revised policy.
